Power Automate is Microsoft's enterprise workflow and RPA platform. It sits inside Microsoft 365 and the Power Platform, connecting your apps, data and people through flows — small, reliable programs that run when something happens (an email arrives, a row is added to SharePoint, a file is uploaded, a schedule ticks over).

For most South African businesses we work with, Power Automate is already included in their existing Microsoft 365 licensing. They just don't have the in-house Power Platform engineering to put it to work. That's where we come in.

Power Automate is part of the broader Microsoft Power Platform we work across — alongside Power BI, Power Apps and Microsoft Copilot.

A cloud flow is a sequence of actions that runs in Microsoft's cloud whenever a trigger fires. We design them around real business events — an invoice landing in a mailbox, a quote being accepted in CRM, a row appearing in SQL — and route the work automatically to the right system, the right person, and the right next step.

Not every system in your business has an API. Sage, Pastel, legacy ERP modules, browser portals from suppliers, government compliance sites — many still require a human to log in and click buttons. Power Automate Desktop is Microsoft's Robotic Process Automation tool that handles exactly that work.

We build bots that operate these systems the way a person does — opening windows, typing fields, reading screens, downloading reports — but without the lunch breaks, the typos, or the salary. RPA is usually the fastest route to ROI on legacy-heavy estates.

Accounts payable is the process we are asked to automate more than any other, and for good reason: invoices arrive as email attachments, get printed, get re-keyed into Sage or SYSPRO, get walked to someone for signature, and then get filed somewhere nobody can find at audit. Every one of those steps is rule-based. Power Automate, with AI Builder document processing, removes them.

Capture

A flow watches the AP mailbox, a SharePoint drop folder or a scanner output. Attachments are pulled, deduplicated against invoices already processed, and stored with a permanent audit copy.

Extract with AI Builder OCR

AI Builder's invoice processing model reads supplier, invoice number, date, VAT, totals and line items. We train it on your actual supplier documents rather than relying on the generic model alone — that's the difference between 70% and production-grade accuracy.

Validate & match

Three-way matching against purchase orders and goods-received notes, supplier master lookups, VAT number checks, duplicate-invoice detection and tolerance rules. Anything that fails validation is routed, not silently posted.

Route for approval

Value-banded approval routing in Teams or Outlook — one click to approve, escalation when an SLA slips, full audit trail of who approved what and when.

Post to your finance system

Approved invoices post into Sage 200 Evolution, Sage 300, SYSPRO, Business Central or your custom ERP via API, custom connector or desktop RPA where no API exists.

Handle exceptions properly

The failure cases are what make or break an AP automation. Unreadable scans, unknown suppliers, price mismatches and part-deliveries all get an explicit human queue instead of a stuck flow.

How long does it take to automate invoice processing?

A first working AP flow — capture, OCR, approval, notification — typically lands in 3 to 5 weeks. Posting straight into the ERP and full three-way matching take longer, because that's where your business rules and supplier reality live. We deliberately ship the capture-and-approval half first so the team feels the relief while the rest is built.

How much invoice processing time does it actually save?

The honest answer is that it depends on how much of your invoice volume is clean and repeatable. In our experience the bulk of AP handling time is capture, re-keying and chasing approvals — and that is exactly the part automation removes. The exceptions still need a person; the routine no longer does.

Do we need extra licensing for AI Builder OCR?

AI Builder consumes credits, which are separate from your base Microsoft 365 licensing. We size the credit requirement against your actual monthly invoice volume during scoping, so there is no surprise line item after go-live.

What if our accounting system has no API?

Then we use Power Automate Desktop RPA to drive the system the way a clerk does, or we write directly against the supported integration layer. Legacy Sage and Pastel estates are routine work for us — see ERP and Sage integration.
